How to choose a hotel
for the whole group.
Start with a real rooming list
Guest numbers alone do not determine the room block. Count singles, doubles, twins and suites; identify arrivals and departures that fall outside the main stay. Ask for the actual room allocation rather than assuming a large hotel can accept the whole group.
Match the stay to the hospitality
A country hotel can suit shared dinners and a coordinated transfer schedule. A city base may suit more independent guests. In either case, confirm the circuit gate and final walk, especially for a late return.
Check what is open and included
A spa, pool or restaurant on a hotel website is not automatically open, private or included during the event. Ask about operating dates, access charges and any works that could affect the stay. Specify the named function room and layout if you are hosting clients.
Compare the full stay cost
Evaluate the hotel alongside transport, dining and event access. A lower room rate may lead to more transfers or a split group. Your proposal should show what is included, what remains optional and which deadlines apply before the booking is confirmed.
